I started off my career as a receptionist at a recruitment company in Norwich. I very quickly found myself taking on more and more general administration and teverntually was running a busy reception while being responsible for invoices, payroll for all temporary staff, lead sourcing, pre-screening potential candidates, maintaining and developing the database, advertising jobs, PA work for the Managing Director and organising events run by the company.
After working there for a year and taking a career break to travel round Europe for two months, I was approached by my previous line manager from the recruitment company. After leaving, she had started an ethical copywriting company with her partner. Fountain was doing amazingly in its first year so I jumped at the chance to become the Office Manager. This involves everything from small admin jobs to managing every project that comes through.
Now with a team of five and more on the books, we are hoping to break into the communications world nationwide.
2009 - 2010* Booking all training for Midlands and East Of England
* Dealing with and processing ad-hoc training requests
* Working from a set training plan for the year ensuring that deadlines were met and employees received their training on time
* Sourcing training suppliers
* Processing invoices
2008 - 2009QA and Accounting Duties:
• Ensure all company processes are up to date and efficient
• Responsible for credit control of all debtor invoices
• Responsible for processing all temporary candidates’ payroll on a weekly basis
• Manage the necessary documentation and online forms to ensure speedy client and candidate feedback for senior management
• Order and maintain relevant office supplies for effectiveness of personal duties
• Liaise and manage out-sourced suppliers in relation to office hardware and software
• In-house training of all members of staff on specialised recruitment software systems including Broadbean and Talent on View.
• Responsible for compiling daily and weekly management reports, and liaising with software house in order to produce bespoke reports and customise the database where necessary.
Resourcer Duties:
• Pre-screen potential applicants through telephone interviews to aid the short-listing procedure for recruitment consultants
• Gathering sales leads for consultants via job boards, CVs and general prospecting
Marketing Duties:
• Research and project manage key external events including venue and speakers, and communicate with delegates pre/post event
• Aid in the production of marketing mailers including template design, management of mailing list and proofreading.
• Update and design company advertisements in line with branding guidelines
• Design and distribute flyers and promotional advertisements
Reception and Administration Duties:
• Maintaining reception area, including greeting all candidates, assisting in their applications and organising public diary in line with the needs of the consultants
• Answer a high volume of calls and maintain a rapid response rate to meet company's customer service standards
• Log information on calls received where required, and pass messages and information to relevant consultants
• Responsible for organisation and filing of records and company documentation
• PA responsibilities to the Managing Director including diary management, travel arrangements and accommodation.
